The Kalgidhar Society – Baru Sahib established in 1956, has been working tirelessly towards transforming the lives of children through the tool of value-based high-quality education.
In its quest of fighting drugs with books, the Society has established 130 low cost CBSE schools and 2 universities in under its flagship Akal Academies program, providing modern, value-based education to nearly 75,000 students across rural areas of Punjab, Haryana, Himachal Pradesh, Rajasthan and Uttar Pradesh.
In this regard, the Society has decided to purchase five (5) school buses for its schools located in Haryana

TERMS AND CONDITIONS:
Technical Specifications – The buses should be equipped with standard seats or higher with a seating layout of 3×2 or 2×2 and a seating capacity of 30+1 or higher.
The vehicle should have a Domex / Ladder Frame / Monocoque chassis with a wheelbase of 3335 mm or higher Body Fully Company Built-up.
The front and rear tyres should be 7.5×16–16 PR or higher.
The engine location should be front, with 3 or more cylinders, manual transmission, and a 5-speed gearbox.
The engine displacement should be 1999 cc or higher, complying with BS-VI emission norms, and the bus should have power steering.
The front and rear brakes may be air brakes, disc brakes, or drum brakes.
The front and rear suspension should be semi-elliptical with multi-leaf springs or parabolic leaf springs.
The bus must also be equipped with:
- GPS
- Emergency exit
- Side windows
- First aid kit
- Lights
- Luggage storage
- Driver information display
The bus should be non-air conditioned and yellow in colour. Additional features should include:
- Emergency hammer
- Grab handles
- Stepney tyre
- Rear view mirrors
- Roadside assistance in case of breakdown
Registration: To be done by the dealer prior to delivery.
Warranty: Complete vehicle warranty for 2 years.
Dealer may offer extended warranty as optional, clearly quoting the cost.
Eligible Bidders – Only reputed OEMs / Authorized Dealers are requested to quote their minimum on-road price strictly as per tender specifications or higher. No price advantage will be given for higher specifications. Authorized dealers must have captive service stations in Punjab or Haryana.
Submission of Bid – The offer should be submitted in a duly sealed envelope sent through Courier / Registered Post / By Hand. The envelope must be clearly superscribed as: “Tender Enquiry for Five (5) 30+1 Seater Buses”

Tender Document – Bidders must carefully read the document and submit a copy of the full tender document duly stamped and signed on each page by an authorized signatory.
Documents to be Submitted – Bidders must submit:
1. Valid Authorization Certificate from OEM
2. Vehicle Brochure with complete specifications
3. List of Authorized Service Centres in Punjab & Haryana
4. Copy of Tender Document signed and stamped on each page
Price Bid – The offer must be on the letterhead of the agency strictly as per the Price Bid Format Annexure A
Authorization & Brochure – Authorization certificate from OEM and detailed vehicle brochure must be submitted along with the offer.
Financial Details – The following must be clearly mentioned:
- Discounts / Corporate Discount
- Delivery Period
- Warranty / Extended Warranty
- Taxes
- Any other financial terms
Taxes – If taxes are not mentioned, the rates will be considered inclusive of all taxes.
Accessories – List of standard accessories supplied with the vehicle must be clearly mentioned along with quantity.
Service Network – Bidders must ensure the availability of authorized service and maintenance networks in Punjab and Haryana and provide addresses and contact details.
Penalty for Delayed Delivery – Delayed delivery beyond agreed period will attract liquidated damages of 0.5% of order value per week, subject to a maximum of 5% of supply order value.
Payment Terms – 100% payment shall be released within 15 days after receipt and acceptance of the vehicle in good condition upon submission of a pre-receipted bill.
Payment will be made through cheque or online transfer.
Jurisdiction – All disputes shall be subject to Punjab Jurisdiction only.
Arbitration – In the event of any dispute arising between The Kalgidhar Society and the agency in any matter covered by this contract or arising directly or indirectly there from or connected or concerned with the said rate contact, the matter shall be referred to the The Kalgidhar Society, who may himself act as sole arbitrator or may name as sole arbitrator an officer, not withstanding the fact that such officer has been directly or indirectly associated with this rate contract and the provisions of the Indian Arbitration Act shall apply to such arbitration. The agency expressly agrees that the arbitration proceedings shall be held at The Kalgidhar Society and the decision given by the arbitrator shall be binding for the both the parties.
Multiple Options – A bidder having more than one model meeting the specifications may submit separate quotations for each option.
Tender Opening – Tenders will be opened at The Kalgidhar Society, Mohali in the presence of bidders or their authorized representatives.
Award of Tender – Tender shall be awarded to the lowest bidder (L1) quoting the lowest on-road price, subject to meeting all specifications.
The Kalgidhar Society reserves the right to accept or reject any or all offers without assigning any reason.
Validity of Tender – Bids shall remain valid for 7 days from the date of opening of the tender.
Delivery Period – Delivery must be completed within 20 days from the date of supply order, during working days except Saturdays, Sundays, and Gazetted Holidays.
RTO Registration & Hypothecation – RTO registration of the buses shall be in the vendor’s scope, including all required documentation, fees, and formalities. The buses shall be registered with hypothecation in the name of REC Limited for a period of three (3) years, and the vendor shall ensure the same is duly endorsed in the RC records.
Branding –The buses should have REC Foundation Logo and Name displayed on both sides and rear of the bus.
